Activate CTE (“we,” “us,” or “our”) runs the activatecte.com website, the Activate Varsity Esports League (AVEL), and ActivateXP, a career-exploration program for students. This policy explains what information we collect, how we use it, and the choices you have. It covers activatecte.com and app.activatecte.com.
1. Who this policy covers
This policy applies to school staff (advisors, teachers, and coaches), students, parents and guardians, and anyone who visits our website or signs up for our emails or text messages.
2. Information we collect
From schools and advisors
- School name, district, address, and phone number.
- Advisor name, work email, phone number, and title or role.
- Whether you want AVEL emails or text messages.
- Information you enter while running your program, such as student approvals, player forms and eligibility status, teams, line-ups, match results, and messages to other advisors or AVEL staff.
From students
Students join through their school’s AVEL sign-up link. We collect:
- School email address and school student ID.
- First name and grade. We do not ask for a student’s last name.
- Gamer tag, and Discord username if the student connects Discord.
- Game choices or career track, and answers to a few career interest questions.
- Activity in the portal, such as match check-ins, Ready Up, availability, Match Lobby chat messages, reported results, and screenshots of match scores.
- Clips and ActivateXP work a student chooses to submit, such as quest answers, reflections, and resume content.
- A mobile phone number, only if the student chooses to get text reminders.
Automatically
Like most websites, our servers keep basic technical logs, such as IP address, browser type, and the pages visited. We use these to keep the service secure and working.
3. How we use information
- To run AVEL and ActivateXP: accounts, rosters, schedules, matches, results, standings, and career activities.
- To send account emails, match reminders, and program updates.
- To send text messages to people who opted in.
- To keep students safe, moderate league spaces, and respond to reports.
- To give schools reports on participation and career-readiness skills.
- To answer questions and support requests.
We do not sell personal information. We do not use student information for targeted advertising.
4. How we use AI tools
Some features use AI services to help with tasks: giving first-pass feedback on ActivateXP quest work, helping students clean up resume wording, and answering help questions inside the portal. We send only the text needed for that task. A person reviews scores before they count.
5. Who we share information with
Student information is shared with the student’s own school advisors and with AVEL staff. Other schools see only what is needed to play a match, such as a player’s gamer tag, team, match results, and messages posted in that match’s Match Lobby.
We use trusted service providers to run the program. They may only use information to provide their service to us. They include:
- Supabase (secure database, sign-in, and file storage).
- Resend (email delivery).
- Mailchimp (email updates and text messages).
- Discord (league communication, for users who connect it).
- Google (file storage for match evidence).
- Anthropic and OpenAI (AI features described above).
- Our website host.
We may also share information if the law requires it, or to protect the safety of students or others.
6. Text messages
Text messages are optional and are never required to take part. If you opt in, message frequency varies, and message and data rates may apply. Reply STOP to stop messages or HELP for help at any time.
We do not share or sell mobile phone numbers or text-message opt-in information with third parties or affiliates for their marketing or promotional purposes.
7. Students and schools
AVEL and ActivateXP are school programs. Students take part through their school, and their school advisor approves them. We collect student information for educational purposes on behalf of the school, and we use it only to run the program for that school. Parents and guardians who have questions, or who want to review or delete their child’s information, can contact their school advisor or email us.
8. How we protect information
Accounts require a sign-in, and each person only sees what their role allows. Data is stored with our service providers using industry-standard security. No system is perfectly secure, so please contact us right away if you think an account has been misused.
9. How long we keep information
We keep information while a school takes part in AVEL or ActivateXP and as long as needed to run the program, keep season records, and meet legal requirements. A school or parent can ask us to delete a student’s information at any time.
10. Your choices
- Unsubscribe from marketing emails using the link in any email.
- Reply STOP to any text message.
- Ask us to see, correct, or delete your information by emailing us.
11. Changes to this policy
We may update this policy. When we do, we will change the effective date at the top and, for important changes, let schools know.
